Stenograf Privacy Policy

Stenograf is the desktop app for macOS and Windows, with an optional Chrome companion, made by Soniqo, a Delaware company. It is local-first: your recordings, complete transcripts, Discover questions and answers, citations, speaker names and voice profiles, and calendar contents stay on your computer. Transcript excerpts leave it in one case only — inside a Discover rating you confirm, described below. This page says what leaves your computer, and when. Privacy questions: [email protected].

While you are signed in

Account and licensing

Signing in and keeping your plan current sends your account, your platform and app version, subscription operations, a random per-device key, and the proofs that go with it. Nothing about your recordings travels with them.

Product diagnostics

A signed-in install also sends product diagnostics, with no setting to turn them off. They describe the software and the machine, never the meeting:

  • app launch, model readiness, Listen and Discover lifecycle events, and fixed acquisition steps;
  • app/source version, platform, transcription pipeline and model-bundle revision, Calendar connection state, fixed Discover model/retrieval revision, outcomes, and coarse duration/performance buckets;
  • on app launch only: operating-system version, hardware model, processor, core count, memory, graphics, locale, and time zone;
  • on a finished recording only: a language code inferred locally from a bounded transcript sample that is then discarded.

Diagnostics never include audio, transcript or Discover text, answers, citations, speaker names, calendar contents, identifiers of a recording, paths, precise location, IP-derived geography, or free text.

They are stored against your account for at most 180 days, so that we can look at one install when something goes wrong on it, and are reported only as aggregates of at least five accounts. They are never used to profile you, personalise the app, advertise, or score anyone. Our servers, rented from Hetzner in Germany and operated by us from the United States, also see the IP address of a connection in order to serve and protect the request; it stays in operational logs and is not added to diagnostics.

Only when you choose to

Discover feedback

Feedback on a Discover answer is optional and sent one answer at a time, only when you press Helpful or Report a problem and confirm; we read it to find why an answer was wrong and to check that a change fixed it. Because a rating alone says little, it carries the answer you rated: your question, what Discover wrote, and the transcript passages it quoted, with who said them and which recording they came from. The dialog shows exactly this before you send. Beyond that it carries only your account, the rating, and your platform, app version and local model; never audio, anything the answer did not quote, any other recording, or free text — there is no free-text box. The quoted passages can include what other participants said, so send only what you are comfortable sharing; the dialog shows every passage before you do. A rating is kept for at most 180 days and deleted with your account.

Support and Google Calendar

A support request sends your account and the text you typed; it is mirrored to a private Discord thread we answer from. Google Calendar, if you connect it, is read with your own credentials and read-only access to the events you own; a meeting’s title, agenda and attendee names may be stored beside a recording on your computer, nothing from your calendar reaches Soniqo, nothing is written back, and the authorization is revoked when you disconnect or sign out. Soniqo’s use and transfer to any other app of information received from Google Workspace APIs will adhere to the Google Workspace API User Data and Developer Policy, including the Limited Use requirements.

Stenograf Companion (Chrome extension)

The optional companion reads which participant Google Meet shows as speaking — that participant’s display name and Meet participant ID, and nothing else on the page: no audio, captions, chat or credentials — only while you have enabled it in Stenograf and are recording. It passes that to Stenograf on the same computer through Chrome Native Messaging, makes no network requests, and keeps its own state in browser session storage that is cleared when the browser session ends. Stenograf may keep the name on a transcript line in your local history. The companion’s use of this information complies with the Chrome Web Store User Data Policy, including the Limited Use requirements.

Your rights

Recordings, complete transcripts and voice profiles exist only on your computer, and you delete them in the app. What we hold is kept as follows: your account until you delete it; diagnostics and ratings for at most 180 days; support tickets as long as needed to resolve them and keep a record. Depending on where you are and the law that applies to our processing, you may have rights to access, correct, delete, restrict or object to the use of personal data we hold, to receive a copy of it, and to complain to a supervisory authority; open a support ticket. Where the GDPR applies we respond within one month, otherwise within 30 days, and our access to the German servers from the United States is covered by Standard Contractual Clauses or another lawful transfer mechanism. We do not sell personal data or share it for advertising. Changes are posted on this page before they take effect; the date above is the current version.
