Moving from Fireflies.ai

1. Connect Fireflies

In Settings → Integrations, press Connect on the Fireflies.ai row. Your browser opens Fireflies’ own sign-in; sign in and allow the access, and the browser hands you back to Stenograf. The row reads Connected, and the first sync starts at once.

Stenograf asks Fireflies’ own server — the same one its AI integrations use — for every meeting your account can see, newest first, and for each one’s transcript. Each transcript becomes a saved recording marked Imported from Fireflies.ai, with the meeting’s name, date and participants and every sentence under the speaker Fireflies gave it. While Stenograf is running it checks for new meetings every fifteen minutes; Sync now asks sooner. A meeting Fireflies has no transcript for is counted on the row rather than imported.

It sends Fireflies your sign-in and the identifiers of meetings, and nothing else. Nothing recorded here goes to Fireflies, and Soniqo sees none of it. Disconnect forgets the sign-in on this computer and keeps what was imported; Fireflies keeps Stenograf authorised until you remove it in Fireflies’ own settings.

2. Or download by hand

For one meeting, or an account you would rather not connect, open the meeting in Fireflies and choose Download on the transcript. Take JSON: it carries every sentence with its speaker and times, and Stenograf joins the sentences back into paragraphs. TXT, MD and SRT import too, with the speaker names and timestamps options switched on. Fireflies offers downloads on its Pro plan and up; the free plan shows transcripts but does not download them.

In Stenograf, open History, choose Import transcript, pick Fireflies.ai, and choose the file. The recording takes the file’s name and date, so a meeting imported months later still belongs to the day it happened, and the same download is never imported twice.

3. Audio you want transcribed here

Fireflies keeps the recording; on paid plans it lets you download the audio as MP3. Bring one through Import audio in History: it goes through the same transcription and speaker recognition as a live recording, with voices matched against the people you have named, on macOS for now. Video is not imported; Stenograf has no video.

What comes over, and what stays

• Speakers and times. Names arrive exactly as Fireflies wrote them, including a Speaker 1 it could not name, as labels on the transcript. They never become voice profiles: no audio was heard, so there is nothing to recognise a voice from.
• Name, date and participants. The meeting’s title and date become the recording’s, and the participants Fireflies lists are kept beside it, where they help Discover find the meeting.
• Where it came from. History says Imported from Fireflies.ai, and so does Discover when it cites the transcript.
• Everything built on the transcript. A summary in the template you use, History search, Discover, and read-only access for an AI assistant you have authorised, exactly as for a recording made here.
• Not Fireflies’ notes. Its summaries, action items, soundbites, channels and comments stay in Fireflies. Stenograf writes its own summary from what was said, once the local language model is set up (see Discover).

4. Stop the bot, then close the account

Fireflies records by sending its notetaker into the call as a participant. Stenograf records the sound your computer plays and your microphone, so nobody sees a bot join; telling people and getting their permission is yours to do, and Stenograf reminds you before each recording.

Once your meetings are here, stop Fireflies joining new ones: in Fireflies, open Settings → Meeting settings and turn off Auto-join calendar meetings, or choose Only when I invite [email protected]. Remove Fireflies from any recurring invitations you added it to. Keep the connection in Stenograf as long as Fireflies is still recording anything, so those meetings come over too; disconnect, and cancel the Fireflies plan, when the last of them has arrived.

Checking the result

History lists each import with Imported from Fireflies.ai; the Fireflies row in Settings counts what arrived and what had no transcript on your plan. Search finds the exact words, Discover answers questions across them, and summaries appear once the local model is set up.
